How to Keep Your Sports Photos Organized
You're a fantastic sports photographer – capturing those amazing action shots is what you do best! But even the most incredible photos are useless if you can't find them. A solid photo organization system is key to keeping your workflow smooth and stress-free. Imagine – no more frantic searches, no more panicked moments when a client needs those crucial shots. A well-organized system will save you time, headaches, and maybe even a few gray hairs! Let's get you set up for success.
Organize, Organize, Organize!
I'm a PC user, so I speak Windows. If you're a Mac user, it won't be that hard to follow along.
DOWNLOADING YOUR SPORTS PHOTOS - The best way to get your photos from your Canon EOS R5 Mirrorless Camera to your computer is via a card reader. Here are the two I use: ScanDisk Extreme Pro SD USB Card Reader and Delkin Devices USB Card Reader. Unless you have a super high-end set up, I do not recommend downloading photos from your camera to your computer via wireless transfer. It's just a headache waiting to happen.
Once you have your camera window open to the folder where your sports photos are, open your external drive in a new window. If you don't have an external hard drive, my recommendation is My Passport 5TB External Hard Drive USB. Create two folders, Active and Archive.
ACTIVE FOLDER STRUCTURE - To keep things organized and ensure we have backups of all our photos, please follow these steps after each game: First, create a game folder: In your "Active" folder on your external drive, create a new folder. Name it using this format: `TeamNameVsOpponentNameMM-DD-YY` (for example: `AAACubsVsWsox060525`). Next, copy your photos: Select the photos from your camera. Right-click and drag them into the newly created game folder. When prompted, choose "Copy here." **It's crucial to copy, not move, the photos.** This ensures you always have a complete set of your originals, protecting against accidental loss during transfers. Following this process helps prevent data loss and keeps your active photos neatly organized.
Once you've downloaded and edited your files, simply right-click and drag the folder to your Archive folder. To ensure everything's in the right place, please set up your Archive folder as described below first.
ARCHIVE FOLDER STRUCTURE - To keep your sports archives organized, create a folder structure that's really easy to follow. In your "Archive" folder, create individual subfolders for each sport (e.g., "Soccer," "Baseball," "Football," etc.). Then, within each sport folder, create another folder for each year you'll be archiving. This way, you'll easily find what you need. For example, your file structure should look something like this: `Archive > Baseball > 2025` or `Archive > Football > 2025.
